Verify the facts before the next onboarding.

A proposed removal from FMCSA’s Training Provider Registry (TPR), a final provider removal and a driver’s license status are different facts. Check the provider record, effective removal date, training completion record and current driver record. Training after removal is invalid; in cases of knowing participation in provider fraud or other criminal behavior, earlier training may also be invalidated case by case. Do not infer an individual license decision from a provider headline.

Give the applicant a clear next step.

Identify the responsible carrier and explain the next verification requirement. If the candidate already applied through Indeed, build on that existing application and conversation.

Keep the decision with the carrier.

THS supports recruitment coordination and administrative workflows. The responsible licensing agency determines license status. The hiring carrier remains responsible for screening, qualification and its employment decision, including the applicable driver-qualification requirements.

Use a controlled handoff record.

Record the role reference, identified carrier, applicant’s existing communication thread, documents requested, responsible reviewer and next step. Keep general recruiting coordination separate from the carrier’s qualification decision. An incomplete record should show what is missing rather than imply the candidate has cleared screening.

Reduce duplicate requests.

If an applicant has already used Indeed, retain the existing application reference and continue that conversation where appropriate. Ask for the information actually needed for the next step. Use a secure, agreed channel for sensitive identity or qualification records rather than public chat.

Close the loop.

Record who will contact the candidate, what the candidate should do next and which carrier representative owns the decision. A submitted interest form is not a job offer, a qualification determination or permission to begin operating.
